Web calendar
This article provides an overview of the calendar / schedule view of the JobStaq web interface, highlighting the available functionality and layout of the calendar.
At present, this view will show an error if attempting to view on a smaller screen size, such as a phone, as it has been designed for desktop use. We'd advise you to use the app if you're trying to access this on a phone.
This article omits details of how to use assisted scheduling features of the calendar, which are covered in another article.
Sidebarâ
The sidebar contains useful information to help you quickly navigate around the calendar.
Small calendarâ
A month calendar is always present in the sidebar to help you quickly navigate around when trying to find availability to schedule work.
- Clicking a date on this will navigate to that day in the day view mode.
- The arrows at the start of each week take you to week view when clicked.
- Left/right arrows to the side of the month header change the month shown on the sidebar calendar, to allow you to find a date in another month.
- Clicking the month header will switch the calendar to a month selector to help navigate over longer time periods, and clicking the year header now in its place will go to a year selector.
Actionsâ
- Go to today: makes the current date visible on the main calendar, while retaining the view level.
- Change view: switch between month/week/day views of the calendar.
- Toggle map: this option is visible when on day view, and allows you to show/hide the map of event, vehicle, and employee home locations.
Moreâ
- Unscheduled jobs: opens a list of all jobs with a status indicating that further work needs booking in the sidebar, which can be dragged onto the calendar to create an event for that job.
- Default view: lets you select the view the main calendar will default to whenever opened on the current device.
- Employee display setting: lets you toggle which employees are visible on the calendar, and customise the order which they appear in.
- Help: opens this knowledgebase section in a new tab to help users understand available features and changes.
Viewsâ
There are three available views on the calendar to help with scheduling at a range of levels of details.
Across all of these views, events are designed to show you key information to help you understand what the event relates to, and the status of it.
At the top left, an icon is shown to represent the current status of the event:
- Scheduled: calendar
- Departed: vehicle
- On site: door with arrow pointing towards
- On site: door with arrow pointing away
- Completed: checkmark
- Aborted: cross
- No access: door with cross through
For job-related events, the title is the job type, the postcode of the property at which the event takes place is shown below, and the first part of the event description (if provided) is shown in a lighter text colour.
When you hover over job events with your mouse, a popup with more information about the event and job is shown.
For non-job events, the title is instead the event type, and no postcode is shown.
Finally, at the top right of the event, a lock symbol may be shown - this relates to the automatic scheduling functionality, and if shown indicates the event won't be re-assigned to another employee by the optimisation system.
Monthâ
Month view shows a grid of all dates in a selected month, and within each cell, a list of all events on that day, sorted by their start time.
This view is good to get an overview of relative fullness of each dates, and to idenfy dates where there's space for large jobs to be scheduled.
This view will become less useful as the number of engineers in your account grows (lists of events in each cell get longer, and it's less clear how busy each engineer is), and the view doesn't reflect event duration (so it's also unclear whether an event is short or taking up the entire day).
Weekâ
Week view shows a horizontal timeline for each employee in your account, showing their events for the week. This view is useful for spotting gaps in the diary of each of your employees when trying to schedule work.
Dayâ
Day view has the same layout as week view, however is more zoomed in horizontally, so you'll be able to read more information from the events, and adjust their timing more granularly.
In addition, you're able to toggle a stacked calendar and map view, so you can see a visual representation of where your engineers are going on that day, to help visualise the routes, and optimise schedules.
